Hi there! Had a great support call with Rohit this morning about getting our automated booking workflow running. Thank you Rohit.

He asked me to share the requirements here. It's for the Phoenix HealthCare Bot.

I need it to gather this information from the customer: Name, Surname, cell phone number, email address, reason for appointment (service they're interested in) And then walk them through the booking options and book the appointment with them on the connected google calendar.

I need the calendar entry to reflect all of the information gathered in the booking process.

if you can help me set up the variables in the summary and description I would really appreciate it. And also to make sure that the bot is gathering the Name, Surname, email and cell number first before confirming the appointment

I require the worflow to do the following:

  1. book 30 minute appointments on the linked google calendar.

  2. Ap[pointments are every 30 minutes from 8am ending at 5pm (last appointment at 04:30pm

  3. the calendar event must be populated with the person's name, surname, phone number and email address

  4. the calendar event must also capture the purpose of the appointment.

  5. the chatbot must trigger the booking workflow on booking intent

  6. THe hatbot must first gather the relevant contact details so that they can be added as variables in the calendar event.

The booking workflow for Phoenix Health Care has been set up. To test it, please open the studio emulator and type something like “Book an appointment” to trigger the booking intent. The bot will collect the required contact details and the purpose of the visit, then allow you to select a 30-minute slot between 8:00 AM and 5:00 PM. If the slot is available, the appointment will be added to the linked Google Calendar with all the captured details and the practice address; if not, it will prompt you to choose another time.

Please test it and let us know if anything needs adjustment.
